When you click Approve on the Money screen, CMS submits the credit card transaction for approval. If approved, the approval number will automatically be displayed on the Money screen.

When this option is used, the approved charges will be captured in a later step. This allows you to make financial changes to the order between the approval and capture time without having to refund the card.

CMS can be configured to process approvals as charges instead of just obtaining authorization; when you click Approve on the Money screen during order entry, the transaction will also be captured. The approval number will be completed automatically, and the EDC check box will be automatically selected. See Setup>Company>Administration>EDC>Options tab to configure this option.

If you capture during order entry, any subsequent edits to the order that change the order’s financials will require that you refund/charge the difference or void the charge.

Use the Batch Approvals form

Use the Approval Prior To Shipment form for individual approvals

If CMS is configured to approve and capture simultaneously, the transaction will also be captured when you use the Approval Prior to Shipment or the Batch Approvals form.

Alternatively, you can select the Process as Sale Transactions (Approve + EDC)  check box on the Batch Approvals form to simultaneously capture the charge.

Capture authorized charges using the EDC window. (Only charges that have been authorized will be displayed.) Captures can also be limited to only those orders that have been marked as shipped (also includes unapplied payments and orders which have been flagged as ‘bill delayed’ for charging in advance of shipping.)
